Cancellations and No-Shows: How They Are Handled
Cancellations are a normal part of the business on both sides. How they are handled says a great deal about an operation.
Cancelling as a client
Give as much notice as you can. A cancellation the day before is an inconvenience; one twenty minutes before the booking, when the companion is already travelling across Athens, is a wasted evening she cannot refill.
Most agencies do not charge a cancellation fee for a first-time client giving reasonable notice. Repeated late cancellations are a different matter and will get you quietly deprioritised, which is a more meaningful penalty than a fee.
Deposits and cancellation
Where a deposit has been taken for a long or travel booking, cancellation terms should have been stated when it was paid. If they were not, that is the operator's failure rather than yours. For standard bookings no deposit should have been requested at all.
When the companion cancels
It happens — illness, a family situation, a booking that overran. What matters is notice and what is offered instead. A good agency will propose an alternative companion or a rescheduled time rather than simply apologising.
The no-show
A no-show with no communication is different from a cancellation and is not acceptable. Report it to the agency; reputable operators take it seriously because it is the fastest way to lose a client permanently.
Rescheduling
Usually easier than cancelling for both parties. If your plans have shifted rather than collapsed, propose a new time rather than cancelling outright — most companions would far rather move a booking than lose it.
Weather and travel
On the islands, ferries are cancelled and flights are delayed with little warning. Both sides should treat this as force majeure rather than fault. Building a buffer into island bookings is simply realistic.
